01 Introduction
OPTIMS ("the App", "we", "us", or "our") is a utility management application developed and operated by SCUBE Technologies Ltd. The App helps organizations and users manage utilities — including electricity/power, water, and gas — by recording, organizing, visualizing, and reporting on utility data. Users can arrange and move content on their dashboard using drag-and-drop, and view information in both portrait and landscape orientations.
This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to the OPTIMS mobile applications available on the Google Play Store and the Apple App Store, and to any related services.
By downloading, accessing, or using OPTIMS, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.
02 Information We Collect
a. Information you provide to us
- Account information: your name, email address, phone number, and a password (stored in encrypted/hashed form) when you register or sign in.
- Profile details: organization or role information, and any optional details you add to your profile.
- Utility & operational data: the information you enter into the App to manage utilities — such as meter readings, consumption records, connection/account numbers, billing details, service locations, and related notes for energy, power, water, and gas.
- Support communications: messages, feedback, or requests you send to our support team.
b. Information collected automatically
- Device information: device model, operating system and version, unique device identifiers, language, and time zone.
- Usage & log data: features used, screens viewed, actions taken, dates/times of access, and app performance data.
- Diagnostics: crash reports and error logs used to keep the App stable and secure.
03 Device Permissions
The App may request the following permissions on Android and iOS. Some permissions are optional and are requested only when you use a feature that needs them. You can grant or revoke permissions at any time in your device settings.

04 How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the OPTIMS App and its utility-management features;
- Create and manage your account and authenticate your access;
- Store, organize, and display the utility data you enter (including drag-and-drop dashboards and reports);
- Sync your data across your sessions and devices;
- Send service-related notifications, reminders, and important updates;
- Respond to your support requests and improve the App;
- Monitor usage to detect, prevent, and address technical issues, fraud, and security incidents;
- Comply with legal obligations.
05 User Roles & Data Access
OPTIMS uses role-based access control. What data a person can see or manage depends on their assigned role:

Admins are responsible for managing the users they add and for the data those users can access within their organization.
07 Third-Party Services
OPTIMS may use reputable third-party services to operate and improve the App, such as cloud hosting, crash reporting, and analytics. These providers process data only as needed to perform their services and under their own privacy terms. Where applicable, examples may include cloud infrastructure and analytics/crash-reporting providers.
08 Data Retention
We retain your personal information and utility data for as long as your account is active or as needed to provide the service. We may retain certain information for longer where required to comply with legal obligations, resolve disputes, prevent fraud, and enforce our agreements. When data is no longer needed, we delete or anonymize it.
09 Data Security
We use appropriate technical and organizational measures to protect your information, including encryption in transit (HTTPS/TLS), access controls, password hashing, and secure server infrastructure. No method of transmission or storage is 100% secure, but we work continuously to protect your data. Please keep your login credentials confidential.
10 Your Rights & Choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Request deletion of your personal information;
- Withdraw consent or object to certain processing;
- Request a copy of your data (portability);
- Manage app permissions and notifications from your device settings.

11 Account & Data Deletion
You can request deletion of your account and associated personal data at any time by:
- Using the in-app Delete Account option (if available), or
- Emailing us at support@scube.com.bd with your registered email/phone and the subject "Delete My Account".
Once verified, we will delete your personal data within a reasonable period, except information we must retain for legal or legitimate business reasons. Some data managed within an organization may be retained by that organization's Admin.
12 Children's Privacy
OPTIMS is intended for business and adult use and is not directed to children under the age of 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us so we can remove it.
13 International Data Transfers
Your information may be stored and processed in Bangladesh or in other countries where we or our service providers operate. Where data is transferred across borders, we take steps to ensure it is protected consistent with this Privacy Policy and applicable law.
14 Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, where appropriate, notify you in the App. Your continued use of OPTIMS after changes take effect means you accept the updated policy.
